How to Write Refund Terms for Digital Products
Digital product refund terms must be clear before the buyer receives access. Once a file, template, license key, private link or source code package is delivered, the seller cannot recover the value in the same way as a physical return. That does not mean the seller should write harsh or confusing terms. It means the seller should explain the rules early and in plain language.
Do not rely on one sentence
“No refunds” is usually too weak because it does not explain the real situation. A better structure explains when cancellation is possible, what happens after access is provided and what the seller will do if the delivered file is broken or not as described. Buyers are more likely to accept fair terms when they understand the reason.
Separate access from satisfaction
A digital product can be delivered correctly even if the buyer later changes their mind. Your terms should separate technical delivery from personal preference. For example, a template may be delivered correctly, but the buyer may decide they do not like the style. That is different from a corrupt ZIP file or missing download link.
Include support boundaries
Many digital sellers forget to say whether support is included. If the product is a file only, say that installation or customization is not included. If support is included, define how long and what type. This prevents a €19 file sale from becoming unlimited unpaid consulting.
Use confirmation before download
The strongest timing is before access is sent. The buyer reviews the product name, delivery method and refund terms, then confirms. After that, the seller sends the download link or account access. This makes the delivery record cleaner and reduces the chance that a buyer says they never saw the terms.
Example refund wording structure
- Cancellation is possible before digital access is delivered.
- After access or download is provided, refunds are limited because the product cannot be returned.
- If the file is broken, missing or different from the confirmed description, the seller will repair, replace or review the order.
- Custom changes, installation work and extra support are not included unless written in the confirmation.
Keep it honest
Do not use refund terms to hide poor quality. If the product page promises one thing and the file delivers another, the seller has a real problem. Confirmation pages work best for honest sellers who want to document clear terms, not for sellers trying to avoid responsibility.
